Standard Terms and Conditions for Online Payments
- Acceptance of Terms
By accessing and using the online payment facility provided by Aotea College, you agree to be bound by these Terms and Conditions. If you do not agree with any part of these terms, please do not use the online payment service.
- Currency and Pricing
- Currency: All transactions are processed in New Zealand Dollars (NZD).
- GST: Where applicable, prices are inclusive of Goods and Services Tax (GST). Please note that voluntary school contributions are generally exempt from GST.
- Surcharges: A credit card surcharge of 1% may be applied to your transaction to cover merchant fees. This will be clearly displayed before you confirm your payment.
- Payment Security
- Aotea College uses a secure, third-party payment gateway Windcave, to process all online credit card transactions.
- Your credit card details are encrypted and processed securely. Aotea College does not collect, process, or store your full credit card details on our servers or premises at any time.
- Types of Payments
Our online portal allows for the payment of various school-related costs, including but not limited to:
- Optional Charges: chosen purchases eg school ID, magazine.
- Extracurricular Activities: Sports fees, field trips, and school camps.
- Voluntary Contributions: towards college trips or activities
- Refund Policy
Refunds are processed at the discretion of Aotea College and will be credited back to the student account
- Voluntary Contributions: As these are tax-deductible gifts to the school, contributions are generally non-refundable once processed and a tax receipt has been issued, unless a genuine processing error has occurred.
- Activity/Camp/Sports Fees: Refunds for events, trips, or sports teams will only be provided if the school cancels the event, or if the student withdraws prior to the school incurring unrecoverable costs. Once deposits or final numbers have been committed to third-party vendors, refunds may not be possible.
- Errors: If you believe a payment has been made in error, or you have been overcharged, please contact the school finance office within 14 days] of the transaction.
- Privacy and Data Collection
- Any personal information collected during the payment process (such as student ID, parent name, and email address) will be handled in strict accordance with the New Zealand Privacy Act 2020.

- Dispute Resolution
If you have a dispute regarding any payment made to Aotea College, please contact our Finance Department in the first instance at accounts@aotea.school.nz or 04-237-3166. We will work with you in good faith to resolve the issue promptly.
- Governing Law
These Terms and Conditions are governed by and construed in accordance with the laws of New Zealand. Any disputes arising from these terms will be subject to the exclusive jurisdiction of the courts of New Zealand.
- Changes to Terms
Aotea College reserves the right to amend these Terms and Conditions at any time without prior notice. The current version will always be available on our website.
